Setting up your Voicemail mailbox

Initial set-up

The initial set-up of your Voicemail mailbox must be conducted before the system can be used. The basic set-up can be performed from any telephone although some of the more advanced options (not covered in this guide) may need to be set-up by the system supervisor.

  • Lift the handset and dial 3500.
  • When you hear the Voicemail say “Hello, Repartee Messaging system etc...”, dial 8 followed by your extension number. You will hear Voicemail reply, saying, “Hello and thank you for calling. As a new Voicemail box owner please take a moment to personalise your new mailbox...”
  • You will be asked to state your name only (e.g. “Joe Bloggs”) and press “*”. Voicemail will play back the name you have recorded and if you are satisfied with the recording, you may then press 1 for “Yes”. Alternatively, should you wish to re-record your name then press 2 for “No” and repeat the procedure?
  • The next step will be to record a greeting that callers, ringing your extension will hear. Once recorded press “*” to stop recording. The Voicemail system will play your recording back to you and again if you are happy with the recording press 1 for “Yes” to save the message or 2 for “No” to re-record the message.
  • Voicemail will then prompt you to enter a security code. This must be between 3 and 9 digits. It is advisable to only enter numbers containing 3 or 4 digits e.g. “2992” as it will be easier to remember. Please note that your security code is necessary to stop anyone else from entering your Voicemail box. Please do not forget your security code!
  • Lastly, you will be asked whether you are satisfied with your mailbox entries.

IMPORTANT: Press 1 for “Yes” and your initial mailbox set-up will be saved. This completes the personalisation. Only when you enter the 1 for “Yes” is your mailbox personalised.

Accessing the Voicemail Menu System

From your own office extension

If your telephone is a digital or secretarial unit, deactivate your call forward before entering your mailbox to retrieve messages.

From your GroupWise inbox

If you have installed the GroupWise - Voicemail client then voicemail messages will appear in your GroupWise inbox. You can then you can listen to the messages through GroupWise via the PC sound card.

From some other persons extension

Lift the handset and dial 3500. You will then be requested to enter your Voicemail ID (ignore the voice prompt since this is not your ‘home’ phone, press the # key followed by 0XXXX (EG 02492) and security code. This enables you to breakout of the extension owner’s Voicemail box and access your own mail box.

From outside the University

Dial 260-3500 (Dbn) 260-6500 (Pmb). You will be requested to enter your Voicemail ID (EG 02492) followed by your security code

Cancelling the forwarding of all calls to Voicemail

To revert back to a pre-set simply press #10 and the phone will once again ring in your office and call forward to your Voicemail after about 5 rings.

Changing your standard greeting

Changing your set-up options

Access your Voicemail menu as described above in Accessing the Voicemail Menu System. You may then listen to the prompts using the “1 for Yes, 2 for No” process or you may use shortcuts as follows:

  • To re-record your standard greeting dial 746
  • To re-record your alternate greeting dial 747
  • To switch between standard and alternate greetings, dial 745
  • To change your security code dial 774

Setting all calls to forward directly to Voicemail

If you are going to be away for some time and want to activate a direct call forward then press *10 (STAR TEN). This will cause all your calls to go directly through to Voicemail without ringing your extension at all. (You must have completed the Pre-set call-forwarding set-up for this to work.)

Setting calls to forward to Voicemail on No-Answer

The following call forward instructions may only be completed once your mailbox has been set-up.

Pre-set call forwarding stores a target number in the exchange which will be used as a call forward destination whenever your extension is not answered within a pre-set time delay of about 30 seconds. It is also used to set the forwarding target for the unspecified forwarding mode of *10
.

For Analogue Telephone users (Siemens euroset 802, 805, 812,815 and 2015, Venus)

To activate pre-set call forwarding to the Voicemail system:

  • Lift the handset and dial *11 followed by 3500 for Voicemail.
  • Replace the handset, then lift it and press #10. This will enable your extension to ring approximately 5 times when someone dials your number. After this, it will automatically transfer your caller to your Voicemail box. This mode gives you the opportunity to answer your telephone before it is transferred to voice mail. If you are busy on a call, the new caller will get a busy tone and will probably ring back.

For Digital Telephone users (Optiset)

To activate pre-set call forwarding to the Voicemail system:

  • Press the service menu button
  • Then press the call forward button twice
  • Key in 3500
  • Press the 'tick' button on the scroll bar.
  • Press the call forward button to deactivate a direct call forward to voicemail.

When the above has been completed and call forwarding is activated, any caller, dialling your number, will get the Voicemail greeting and will be able to leave a message for you.

If you have deactivated the call forwarding and are busy on a call, you will be able to see the second call flashing on your pickup button. You can either ignore it and the call will go through to your Voicemail box after about 5 rings or you can toggle between the existing call and the second incoming one.

Deleting Call Forward on the Optiset

  • Press the service menu button
  • Press call forward twice
  • Scroll down to the delete command üto confirm

PLEASE NOTE: To prevent congestion on the Voicemail system, check your mailbox regularly and delete your old messages. The Voicemail system is to assist you when you are out of the office. Its function is not to replace you, and should not be used when you are in your office to take all your calls.
