Integrating Voicemail into GroupWise

Overview

You may now integrate the Voicemail system into GroupWise which will allow you to receive and listen to all your Voicemail messages from your email Inbox.
To listen to your voicemails through your PC, your PC will need to have a sound card and speakers installed.
To install this feature you will need to download and install the Voicemail client as described below.

Warning

First however, please note before you try installing:

  1. At this present time, the Telephone Department does not have any staff that can help users with this process so if you are not comfortable with installing software on your machine or if you run into problems, we will not be able to provide support.
  2. The addition of this client to your GroupWise system will add a delay of about 7 to 10 seconds to the GroupWise start up process. This occurs while the Voicemail client downloads the list of Voicemail users. If you find this delay a nuisance then you will need to uninstall the Voicemail client. The Telephone Department will not be able to assist you.
  3. That said, the installation is quite straightforward and there is little likelihood of problems.

Messages can be played over the PC’s sound system or an associated telephone. It is very similar to a simple email client.

Installation

  1. Download the client for either GroupWise or Outlook depending on what you use to access your email. Click on the relevant link below and choose "Save As" to save the downloaded client to your PC. (Remember where you download it to - the Desktop is a suitable choice.
      • Download the GroupWise Client - (currently version 3.4.2) 
      • Download the Outlook Client - (currently version 3.4.4)
  2. If you have used any previous version of the ViewMail of VMG clients, please uninstall them first. Go to the "Add/Remove Software" link in the "Control Panel".
  3. Run the client application that you downloaded in (1) above and follow the instructions to install the client.
  4. When it asks for the name of the Voicemail server (default is vserver), enter voicemail.ukzn.ac.za and leave the protocol as TCP/IP.
  5. When it asks for your Personal ID, enter "8" plus your extension number. (Note that after the 10th March 2006, this will change to be a "0" plus your extension number.)
  6. You have now completed the installation.

Configuration

There is very little need to set any configuration options if you are only going to use your email client to listen to voicemails over your PC sound system. You can however have the voicemails delivered to your phone under the control of your PC and you can use your phone to record messages rather than the PC microphone which many PCs do not have. Note that even if you do have a microphone, it is generally better to use the telephone as the sound quality of most microphones is quite poor.

In either of these instances you will need to make some configuration changes to your client as follows:

For GroupWise:

  • Coming soon!

For Outlook:

  1. Click "Tools", "ViewMail for Microsoft Messaging Options...".
  2. Under "General", set your telephone extension.
  3. Under "Playback", choose "Telephone" if you wish to listen to your voicemail over the telephone.
  4. Under "Record", choose telephone if you wish to use the phone to record returm messages rather than the PC microphone.
  5. Other options here are relatively self evident.
